What about Security?  What about 'Hackers'?

   Security was integral in the design of the MySchoolSite.com system.  It offers a multi-level security system that is as "locked down" or as "loose" as you wish it to be. Here's how it works...

  • User IDs are created for everyone who enters data - In order to enter information into the system, everyone must have a User ID.  They can choose their own, and can set their password.  If they forget it, an administrator can reset it for them.  Before new IDs are "live" however, they must be approved!
  • User IDs are approved and granted privileges - Depending on how you want to set up the system, you can grant users various levels of authority. They can be anything from a "view only" student or parent, to a data entry person, to someone with approval and deletion privileges.  It's all up to you!  
  • Invisible Until Approved - In a typical scenario, you would grant "data entry" rights to trusted students and parents, but their entries into the system would be "invisible" until those entries were viewed and approved by a staff member. This way, the effort of entering the information is shared among the enthusiastic helpers, and the staff only needs to review and approve the information - a process that usually takes only a few seconds per day!
  • Control over individual "fields"! - Without getting too technical, let's just say that you can not only control which "categories" people can enter data into (like sports, homework, etc.), but you can even control which "portions" of those categories they can enter.  Here's an example... Let's say you have students whom you'll allow to enter the sports scores and the "won/loss" information for your sports games.  There's also a "Notes" area that can be typed in where a description of the game can be entered.  However, you don't have to give them authority to enter information there also.  You can limit their ability to enter information to any "field" or "portion" of the system you wish such as a numeric "score", or multiple-choice field!  You have complete control!

   We know that school kids are enticed by the challenge of "cracking" into a new system, and altering the data.  That's why we have an extensive tracking and security system built into MySchoolSite.  Whenever anyone logs in and changes any information, the following is done:

  • A "Journal Log" is updated - This shows the change that was made, and the date, and time the change was made.
  • Their "IP Address" is recorded - This "address" is akin to their "phone number".  We record and store the address of everyone who makes any change to the system.  This can allow us to determine where a change was made from (inside ths school and which classroom!), and who made the change.
  • Invalid Password Attempts are recorded - Since most "hackers" break into a system by attempting to repeatedly "guess" the ID and Password of someone with higher privileges in the system, MySchoolSite records all illegal attempts, and automatically locks out the user after a pre-defined number of failed attempts.  In addition, their system is prevented from logging back in for a set amount of time.

  The combination of multiple levels of security, individual category and field level control, extensive logging, and password protection of the system make MySchoolSite an extremely safe and secure environment for your school site information.  We take security very seriously and provide you with all the tools you'll ever need to protect your school's information.

  Finally, if you wish, you can use this system to provide a "public" and "private" side to your school site.  You can allow "guests" to view information about your school, it's location and phone numbers and any promotional information you may wish to share with them.  However, in order to gain access to the Homework, Sports, Photo Galleries, etc., they will have to enter the "school password".  This can be a word or phrase that you change as often as you wish, and without it, they won't be able to get in "the front door."  It might be as simple as announcing over the P.A. system on Monday Morning that the password for the week is "Washington", and that's what the students and parents will use to gain access to the "private" side of your school site. As with everything in MySchoolSite, it's completely up to you how secure and protected you wish to keep your information.  Whatever you chose, MySchoolSite has got it covered!
